RRG Procedures for Processing Requests

Procedures The RRG procedures for processing requests are as follows:

The RRG Supervisor or designee receiving the request shall fill out a Referral Log form (DCF-2126), in consultation with the Social Worker, upon receiving the request, indicating the service(s) they are requesting.

Cross-Reference: Regional Resource Group Referral Log (DCF-2126) after 38-7 and Maintenance of Records by RRG 38-13.

Within two (2) working days of receipt of the request, the RRG Supervisor or designee shall provide the person making the request a copy of the Referral Log form specifying:
  • who will provide the service
  • if the service cannot be provided and the reason why
  • if the service can be provided at a later date, an estimate of the date when the request can be met.

The person requesting the service shall inform the RRG Supervisor within three (3) working days of the receipt of the response whether or not they wish to be placed on a waiting list.

The RRG Supervisor shall maintain a written wait list which shall be reviewed weekly at the RRG staff meeting and reported in the quarterly report.

The RRG Supervisor shall maintain a binder containing the completed "Regional Resource Group Referral Logs" (DCF-2126) which lists the:
  • requests for service(s)
  • date of the request
  • unit making the request
  • specific service(s) requested
  • date a decision whether or not to provide service(s) was made,
  • reason for providing or not providing the service(s).
RRG Supervisory Sessions There shall be approximately one (1) hour of regularly scheduled RRG staff meetings each week where RRG staff shall meet to:
  • discuss written requests for service
  • prioritize requests if the demand for service exceeds the RRG’s ability to provide service (see wait-list policy below)
  • assign responsibility for attendance at conferences and provision for services, and
  • discuss cases receiving service from the RRG.
Maintenance of a Wait-list The RRG Supervisor shall maintain a written wait-list, kept in the form of a separate binder containing the Referral Logs (DCF-2126), which shall include:
  • the date the request for service was made
  • the name, telephone number, and office location of the person making the request, and
  • the specific service requested.

Note: The wait-list shall be reviewed at the weekly RRG Supervisory sessions and services provided to those on the wait-list on a first come/first serve basis absent exigent circumstances.
